Kokuroku2: How to Use It
Here, we present one example of how to utilize Kokuroku2.
Of course, feel free to use it in any way you like, not limited to this example.
Beginner's Guide: Get Comfortable with Data Entry First
First, get comfortable with using Kokuroku2 (hereafter referred to as this app). You can't get started if you can't use this app.
- To get used to entering data, start with simple categories. For example: work, break, outing, etc.
- Enter your activities using the categories you decided on, such as “Start Work,” “Break Start,” or “Break End,” to ensure you don't forget. Simply launch the app and tap the check-in/check-out button for that category.
- Keep at it for a while. Aim for at least 3 days, 1 week, 1 month, or 3 months.
- At first, you might accidentally try to check out without checking in. If that happens, tap the item to open "About Tokiroku track" screen. Unlock the grayed-out check-out button by tapping the key icon next to it, then press check-out. This will take you to the “Set Last Time of" screen where you can set the time. Recall when you started and enter that time. It doesn't have to be exact at first.
- Occasionally review your daily and monthly totals. Get a sense of how much time you're actually spending on each activity.
- Once you see fewer “*” symbols next to times in your daily totals or log details, meaning you're consistently remembering to check in/out, you're ready to move to the next stage.
Intermediate Level: Grasp the Actual Situation
Once you've continued for a while and become accustomed to rarely forgetting to input data, you can move on to the next stage.
- If necessary, set up more detailed categories. For example, for breaks: bathroom breaks, coffee breaks, or smoking breaks for smokers. However, too many categories can make input tedious, requiring scrolling to find options, so avoid adding them indiscriminately.
- Continue data entry based on the categories you've decided on.
- Once you've accumulated data for an appropriate period (e.g., one month, three months), review daily and monthly totals to understand the actual situation. You may discover patterns from the aggregated data, such as characteristics by day of the week, or by month or season.
Advanced: Let's Improve
Once you understand the actual situation, set improvement goals as needed and proceed with improvements.
- Determine the goal for that item based on the situation: whether to increase or decrease the time, or maintain the current state.
- Work toward that goal, continue using this app to collect data, and track your progress toward achieving it.
- Use this app as a tool to support business improvement initiatives like the PDCA cycle.
